PIA Group is a fast-growing organization in the accounting and consulting industry, with approximately 25 member firms, each with its own identity and approach. This decentralized structure makes the organization agile and entrepreneurial, but it has also introduced a degree of complexity.
In the area of recruitment, this complexity became increasingly apparent. Processes varied by label, systems were not integrated, and there was no centralized overview. As a result, it became difficult to focus on quality, turnaround time, and scalability.
The goal was therefore clear:
A single, centralized recruitment approach that ensures peace of mind, clarity, and better results, without compromising the unique identity of each brand.
From scattered initiatives to a unified approach
Matchlab stepped in as a co-pilot to guide this transition. Not with a one-size-fits-all solution, but with an approach that began by understanding the organization. How do the various labels operate? What do they need to remain successful? And where does their common ground lie?
Based on these insights, we worked together toward a single, clear direction. Matchlab took the lead on the entire process, from consulting and process design to implementation and training. Rather than offering isolated pieces of advice, we adopted an approach that enjoyed broad support within the organization and could be immediately applied in practice.
One foundation that works for all labels
Insight: The core of the approach was to create a single, shared foundation for recruitment. We began by mapping out the existing processes to identify where there were differences, where there was overlap, and where there were opportunities for standardization.
Overview: Based on this, we developed a standardized approach that works for all labels. It is a process that is clearly structured, remains scalable, and at the same time allows for the unique practices of individual offices.
Implementation: We translated this approach into a centralized ATS solution in Recruitee, integrated with PIA Group’s new career portal. In collaboration with web developer Winie, we implemented an integration that automatically syncs job postings and allows candidates to be added directly to the system.
To ensure that the new approach was truly embraced, we supported all labels in the adoption process with targeted training sessions. This ensured that the technology was not only implemented but also became an integral part of daily operations.

The impact of this approach is immediately apparent. Whereas recruitment used to be spread across various systems and processes, there is now

This brings calm, clarity, and control to the process. Recruiters and HR teams enjoy greater visibility and are less reliant on disparate tools or manual steps. As a result, PIA Group can make more targeted decisions, adapt more quickly, and continuously improve.
We now have the foundation in place to systematically work on reducing the time to hire and improving the quality of new hires. As a result, recruitment is not only better organized but also more manageable.
